CENTRAL RECORDS / Registrar's Office:

resources for faculty and staff

Certifications/Verifications

Verifications requested by students or third parties are processed at any of our campus Enrollment Services Offices

Counseling/Advisement

The Central Records Office does not employ counselors or academic advisors.  However, TCC does employ individuals who have the training and expertise to assist you with this process.  Please contact a Counseling Center for this guidance.  Of course, if you need clarity, contact us

FERPA/Federal Educational Rights and Privacy Act

Faculty and staff should be familiar with FERPA and should insure that all transactions with students are handled in accordance with this federal law.  Training sessions are conducted at each of the campuses periodically.  In addition, faculty and staff may participate in an online workshop.  To access the online workshop, you will be required to enter your Novell Username and password. If you have not been assigned a Username to access the online workshop, you may call the Help Desk at 822-2457.

Grades

In accordance with VCCS and TCC policies, a Grades Plan has been developed.  This document will clarify TCC’s policies and procedures with regards to grading students. Accessing this document requires that you enter your Novell user name and password.  If you need assistance with entering grades, this can be sought by viewing the Instructors Quick Reference Guide.  If you have not been assigned a Username to access these materials, you may call the Help Desk at 822-2457.

Graduation Status

Students who have applied for graduation may expect a status letter to be sent to their student e-mail account one to two months prior to the conferral date.  If the student does not appear that he/she will meet graduation requirements by the end of the semester/term, the counselor/adviser noted on the application, if supplied, will likely be carbon copied on this notification.

Quarter to Semester Conversion

One (1) quarter credit equals 2/3 or .66 semester hours.  Three (3) quarter credits equates to two (2) semester hours.  If you need additional help with this conversion, please e-mail the graduation team.

Substitutions and Waivers

There is a difference between a substitution and a waiver.  Please discover more about the process of granting substitutions and waivers by clicking on the topic above. Note that the Central Records Office does not make decisions regarding the approval of a substitution or waiver; however, the Central Records Office will insure that all VCCS and College policies are followed in the granting of these credits.  If you have questions about the receipt of a substitution or waiver, please contact us.
